-
Arrive at the room where the session will be held at least 15 minutes early
- Make sure that correct session information is displayed at the door
-
Confirm that the AV equipment is working properly – if not please get in touch with the volunteers immediately
-
Every room will have a computer with the following specifications:
- Operating System: Windows 11
- PowerPoint Version: office 365
- Each laptop has a USB
- Make sure that correct session information is displayed on the projector screen
- Check that all pre-recorded presentation videos are available (to be used in case presenters are missing)
-
Every room will have a computer with the following specifications:
-
Identify the presenters in your session (in fact, you are encouraged to reach out to the authors of the papers in your session ahead of the time to inquire who will be the presenter) and confirm how they would like to be introduced (title, pronunciation of the name etc.)
- Given the tight schedule, presenters will use the computer already in the room to present their works; therefore ask the presenters to upload their slides and verify compatibility before the session starts
-
Inform the presenters about the duration and format of the presentation:
- 1 min (setup and intro by the session chair)
- 13 mins presentation
- [Important:] All questions from the audience will be taken at the very end of the session in the form of a ~5 mins Q&A panel
- Please prepare a few ice-breaking questions to get the Q&A session started.
- Start the session with a brief (1-2 sentence) introduction of yourself and the session
- Inform the attendees that there is a 5 mins Q&A panel that will be held at the end of the session and encourage them to stick around to ask questions
- No remote Q&A: session chair encourages attendees to reach out to the authors offline
- During the session strictly enforce the time limits
- In case a presenter is missing play their pre-recorded presentation video (a volunteer will help you quickly locate the video)
- When the session ends, encourage the audience to stick around to interact with the presenters and also to attend the poster sessions for further interactions.
-
Notes:
- There will be a volunteer available in each room to resolve technical difficulties and to move microphones around to help collect questions during Q&A sessions.
- There will only be one HDMI cable connection. If the speaker uses their own laptop, they’ll need to disconnect the podium laptop, use theirs, and then reconnect at the end of their talk.

There will be two plenary poster sessions - given the limited amount of time we have for Q&A during the regular talk sessions, please attend both poster sessions:
- Please follow the poster placement map for finding where to place your posters. Posters are grouped by the sessions in which the corresponding paper is presented. The schematic below shows a rough mapping of the sessions to the boards in the room. Each board will be tagged with a session. Please place your poster in an available board in the area marked for your session.
- Poster boards provided along with push pins to attach the poster to the board.
-
Poster board dimensions: Width: 8 feet; height: 4 feet (~47-48 inches). These poster boards cannot be rotated; they must be used in "landscape" mode per dimensions given above.
- Each poster uses one side of the board.
